Privacy, Cookies & Terms

Short version: your data is hosted in the EU (Germany), we don't use tracking cookies, and we never sell your data. bluewine doesn't read the contents of your guest or client records — we only see what's needed to run the service.

1. Who we are

bluewine is a software service operated by Wise in Blue (Greece), email [email protected]. It provides a suite of tools for wineries and wine venues — guest-facing modules (winery visits, wine list, tastings, wine club, shop) and staff-only modules (cellar and vat tracking, harvest logbook, stock, B2B trade sales), grouped under one cantina (winery/venue) per account.

2. Data controller & processor

When you (the winery or venue) use bluewine, you are the data controller of the data you enter — your own wines, experiences, and any guest, member or client data you collect through the modules you use. Wise in Blue is the data processor: we process that data only to provide the service, and we do not access your cantina's content except for technical support at your request.

3. What we collect

From wineries and venues (our customers)

Name, email, password (encrypted), VAT number, billing and subscription data, and any message you send via the contact form.

Data you enter in the modules you use

Depending on the active modules: your wines and their labels, experiences and booking slots, cellar and vat operations, harvest records, stock levels, and — for guest-facing modules — data submitted by your own guests (booking requests, tasting sign-ups, wine club membership details, shop reservations). bluewine does not collect this data on its own: it is entered either by you or by your guests filling in the public pages you publish.

B2B trade clients (bluereserve)

If you use the Reserve module, your trade clients (restaurants, importers, wine shops) get their own login to a private portal to see the price list you set for them and place orders. We store their company name, contact name, email and VAT number — provided by you or by them when accepting your invitation.

4. Where your data is stored & service providers

Database and files: Supabase, EU region (Frankfurt, Germany).

5. How long we keep it

You are responsible for keeping records as long as your local tax, food-labelling and traceability rules require (e.g. harvest and cellar records for the regulations that apply to your production), and for deleting or exporting data when it's no longer needed. You can delete guest, member or client records at any time from your admin panel.

Free trials. If you start a bluewine trial, it runs for 14 days, with every module unlocked so you can see the full product in use. Your cantina is created already pre-filled with fictional sample data — you can edit or delete it freely, and it becomes your own data if you subscribe (no migration needed). If you don't subscribe by the end of the trial, your account is locked for a further 30 days (a grace period, so we can follow up and you can still decide to subscribe); your data is not deleted during this time, just not accessible. After the grace period, your account and all its data are permanently deleted. If you subscribe, your trial account simply continues as a regular subscription.

6. Cookies & analytics

bluewine uses only essential, technical storage (your language, light/dark theme, login session). We do not use advertising cookies and we don't track you across sites.

To understand overall usage we use two analytics services:

Because GA4 can set analytics cookies after consent, we show a cookie banner on your first visit, with an equally prominent Reject option. Your choice is stored in your browser’s local storage (not in a cookie) and you can change or withdraw it at any time via the Cookie policy page, where every cookie and storage key is listed.

7. Your rights (GDPR)

Access, rectification, erasure, restriction, portability and objection. You can contact us at [email protected]. You may also lodge a complaint with a supervisory authority — for Wise in Blue this is the Hellenic Data Protection Authority (HDPA), dpa.gr — or with the authority of your own country. If you are a guest, wine club member or trade client of one of our wineries, please contact that winery first — they are the data controller of your data.

8. Sub-processors

These are all the third parties that may process data on our behalf to run bluewine. We update this list when it changes; if you are a customer and want to be notified in advance of a new sub-processor, write to [email protected].

Transfers outside the EU rely on the European Commission’s Standard Contractual Clauses and, where applicable, the EU–US Data Privacy Framework. Your operational data stays in the EU (Germany).

9. Security, backups & continuity

Backups

The database is backed up automatically by our infrastructure provider in the EU, alongside point-in-time recovery. Independently of that, you can export your own data at any time from the panel in open formats (CSV / JSON). We recommend downloading an export periodically and keeping it outside the platform — it is the one copy no incident on our side can touch.

Business continuity

If Wise in Blue were ever to discontinue bluewine, customers would receive written notice with a reasonable period to migrate, and the export functions would stay available throughout it, so you can leave with your data in open, reusable formats. Your data is yours: we never sell it, never use it for advertising, and never use it to train AI models.

10. Terms of service (summary)

The service is provided on a subscription (per module). You're responsible for your account and for the accuracy of the data you enter. The software and the bluewine brand belong to Wise in Blue; your content stays yours. Full terms available on request. If you are a business customer, our Data Processing Agreement (GDPR Art. 28) applies automatically and sets out how we process personal data on your behalf.

11. Local laws & your obligations

bluewine is a tool to help you run your winery or venue — it does not replace your legal duties. You, the winery or venue, are solely responsible for knowing and complying with the laws and regulations that apply to your business (food and wine labelling, traceability obligations for harvest and cellar records, alcohol sale and age-verification rules, tax and invoicing rules), which differ from country to country. Any records you create through bluewine are your own: it is your responsibility to make sure they are accurate and compliant. When in doubt, check with your accountant or the relevant authority.
